Summary

Supports the Divisional Controller and senior management of Oltmans Real Estate Services in a) overseeing the financial and accounting records of the properties managed; b) ensuring that the financial information provided to management and owners is of the highest quality possible and c) preparing annual tax returns for 50+ partnerships/LLCs.

Essential Duties & Responsibilities

  • Perform bid reviews on ground up projects to assist estimating team with constructability and pricing.
  • Collaborate with and participate in the design and construction process with the Oltmans Concrete estimators and Field Operations team.
  • Prepare job start-up responsibilities which include but are not limited to; budget review, bid item uploads; review and execution of subcontract agreement, issuance of project specific subcontracts and purchase orders, formulate job tracking spreadsheets, prepare job contact list and confirmation of scheduling.
  • Plan, organize and manage procurement of long lead material items or 3rd party engineering.
  • Manage and recognize potential cost impacts arising from drawing changes, sequence, schedule, extra work items or other subcontractors.
  • Track and manage list of change orders or potential impacts.
  • Monitor and effectively partner with project team including: estimators, general field superintendent, on-site superintendent and accounting team to ensure project is constructed efficiently on time and under budget.
  • Collaborate with operations team to discuss budget, schedule and logistics plan.
  • Prepare and submit monthly forecasts and billing.
  • Weekly project tracking of labor, material, and equipment usage.
  • Supports the on-site construction activities by ensuring all responses to RFI’s, submittal approvals, and current drawings are on hand.
  • Works with Insurance and Safety dept. to ensure subcontractor/vendor compliance.
  • Maintains job files with submittals and RFI’s.
  • Reviews and approves material supplier invoices designating activity phase codes.
  • Assists in LEED documentation reporting.
  • Review and finalize job costs creating historical cost comparisons.
  • Review final performance of project with estimating team and upper management.

Position Type

This is a full-time in office position.

Work Environment

This job operates in a professional office environment. This role routinely uses standard office equipment such as computers, phones, photocopiers, filing cabinets and fax machines.

Physical Demands

The employee must regularly lift or move objects up to 10 pounds and frequently lift or move objects up to 25 pounds.

Education/Experience

  • BS or BA required; Construction Management, or related field preferred
  • A minimum of 5 years working on Industrial/Heavy Commercial projects
  • A minimum of 5 years of concrete construction experience
  • of 5 years understanding all phases of heavy concrete construction and administrative responsibilities.
  • Concrete Estimating experience a plus
  • A minimum of 5 years plan reading and understanding of specs.
  • Microsoft Office (Word, Excel, Project, etc.)
  • Working knowledge of Bluebeam, On-Screen Takeoff and Adobe or similar
  • Familiarity with OSHA safety rules.
  • Understanding of LEED guidelines.
  • Must possess excellent verbal and written communication skills.
  • Must possess strong analytical and problem solving skills.
  • Must be self-motivated.
  • Working knowledge of CMiC, Viewpoint or equivalent a plus.
